Accounts Training (Max. Duration: 2 hrs)

This module is aimed at staff who are responsible for the accounting or bookkeeping function within your business. It aims to cover all the billing and accounting integration aspects of ServiceM8 and your accounting system. In this module, you will:
  • Gain a thorough understanding of how ServiceM8 “talks” to your accounting system
  • Understand which items do and which do not synchronise
  • Go through the Invoice Approval process
  • Learn how to vet completed jobs and send invoices to customers via email, SMS or post
  • Learn how to raise partial/progress invoices

  • Go through best practice for processing credits and discounts

This training module is designed to get your field workers up and running quickly so they can get back out into the field. They will be fully trained on how to use the ServiceM8 Mobile App, to complete a job from start to finish, and includes:

  • Get to jobs using ServiceM8’s turn-by-turn navigation
  • Job Check-In process
  • How to complete Forms

Notes regarding our Training Modules

  1. The training modules detailed above, provide a suggested training outline of items which can/will be covered within the allotted time-frame. Certain items listed may not be relevant to your business, in which case, we are able to spend more time on other items which are.
  2. Each training module is designed to run for a maximum period of time, as noted. If at the conclusion of the allocated time, you feel that more time is needed to complete your understanding, then we are happy to continue, subject to our availability and your acknowledgment that additional fees will accrue at our standard consulting rate.
  3. Up to five (5) users may participate in any training course. In our past experience, more than five participants create an unmanageable training environment, which becomes counter-productive to you. If more than 5 staff need to be trained in a particular topic, additional sessions will be required.

Initial Consultation – ServiceM8 for New Customers (Max. Duration: 1.5 hours)

Prior to commencing any ServiceM8 training, we highly recommend that all prospective ServiceM8 customers, undertake an Initial Consultation. The purpose of this consultation is to:
  • Determine the suitability of ServiceM8 for your business, and in some cases, prevent you from implementing a system which may not be suited to your needs.
  • Verify the compatibility of your current accounting system and mobile devices
  • Conduct an analysis of your current business work flows
  • Determine how ServiceM8 can best integrate into your business
  • Determine which inefficient practices will be replaced by ServiceM8
  • Document your needs for custom fields, templates and/or forms
  • Assess your current method of recording inventory and advise on requirements to prepare for integration with ServiceM8
  • Discuss/document any additional customer requirements, including Security Roles, Add-on features, etc.

Annual Support Plan

This is a support plan offered to Clients to provide a priority support line to assist with the general day-to day running of the ServiceM8 system. Support includes answering general or specific questions, troubleshooting issues, addition of new staff to the portal, explanation of new features and their potential benefits and providing helpful tips and guidance to use the system in the most productive way, however it is not to be used as a comprehensive or regular training forum.

Support is provided either via telephone or via remote login, to satisfy a “rapid response” level of service.

Important Notes regarding our Setup & Training Packages

1. These packages may not be suitable for companies who have unique and/or complex implementation needs, which may require a greater degree of analysis, design, customisation & training, to get ServiceM8 working suitably for them. In these cases, we would provide a custom quotation.

2. Package prices below and custom quotations are based upon the information we have received from you regarding your needs and current systems. The actual fee may vary if any of your requirements change during the engagement, or if we discover that our initial understanding of your requirements were inaccurate at the time of quoting, or if any additional work is required to bring your systems into line with ServiceM8’s requirements. These may include such items as: assisting you with correct setup of your inventory lists, upgrading your accounting system to a version compatible with ServiceM8, assisting with any local PC or general IT issues, etc.

3. Each training module is designed to run for a maximum period of time, as noted above. If at the conclusion of the allocated time, you feel that more time is needed to complete your understanding, then we are happy to continue, subject to our availability and your acknowledgment that additional fees will accrue at our standard consulting rate.

  With ServiceM8, the first 20 jobs booked each month are free. So many sole-traders and smaller businesses, should be able to use SeviceM8 at little or ongoing cost.   There are no hidden fees or fixed term contracts and you may cancel or stop using the system at any time. Of course, we’d hate to see you go, and that’s why we charge a small nominal fee per job.

  With ServiceM8′s simple pay-as-you-go system, you get billed based on the number of jobs booked in each month. Rates start from 50c per job (and 8c per SMS) and get cheaper as you book more jobs each month. Alternatively, you may pre-purchase a batch of jobs called a “Credit Pack” from any of the Pre-Paid packs below, to take advantage of generous discounts on offer.   We want you to sign up and get started as quickly as possible, so ServiceM8 will not ask for your credit card until you go over 20 jobs in a single month. If you never go over 20 jobs, you can continue using ServiceM8 for free, for as long as you like.

  While many other companies charge an additional fee for modules to integrate with your accounting package, ServiceM8 provides the most advanced 2-way integration for users of MYOB, Xero and Quickbooks Online for Free.   At ServiceM8, we don’t want you to limit the number of staff that use our system – that would be counter-efficient. It’s in our interest to see you succeed and grow – so we allow you to have as many users as you like at no extra cost.

Questions

Is there a setup fee?

No. There is no setup fee for ServiceM8 if you want to do it yourself, however, there will be a Setup fee if you engage the services of a ServiceM8 Accredited Partner like Crystal IT.

My business closes for holidays. Will I be charged any fees?

No. One of the great things about ServiceM8 is that you are charged a nominal fee per job/quote. That means if you don’t book any jobs for a week, then you don’t receive any charges.

Do I need a credit card to sign up?

No, we want you to signup and get started as quickly as possible, so ServiceM8 will not ask for your credit card until you go over 20 jobs in a single month. ServiceM8 accepts payment via Paypal, Visa and MasterCard.

Can I prepay and receive a discount?

Yes, once you have a ServiceM8 account, you can pre-purchase job credit packs from within your account at a discounted rate.

Can I change my plan later on?

There are no plans at ServiceM8. At the end of each month we will tally your jobs and charge you based on the most cost effective job rate for that month, so you know you’re always getting the best price available.

Why charge per job instead of a fixed monthly fee?

We couldn’t think of a better way to show our commitment to improving your business than to charge you based on success. There’s no incentive for a fixed-fee provider to go the extra mile to assist you in completing more jobs. With ServiceM8, it’s in our interest not only for you to succeed, but to grow – and with no contracts we re-win our customers on a monthly basis.

What is classed as a Job/Quote for billing purposes?

A job or quote is any client which requests either a quote / estimate or a work order from you to deliver a service. If you have a quote / estimate which later becomes a work order, we will still only charge you one fee.

When does ServiceM8 send SMS messages?

SMS messages are only sent to customers and staff without iPhone or iPad’s, and only after you confirm the message. For staff with iPhone or iPads, push messages are sent via their internet connection free of charge.
